SEEK Bespoke Market – Terms & Conditions for Vendors

I understand that if my vendor application is successful, I agree to abide by the terms and conditions of participation as outlined below.

PAYMENT
Upon vendor acceptance, payment is due within 72 hours of being notified. If payment is not received within this time, your space will automatically be removed from the vendor list. Vendor fees are final and non-refundable. In the event of cancellation due to public health orders (e.g. COVID-19), your payment may be transferred as credit to the next market at the same location.

INSURANCE
All vendors are required to have liability insurance covering the full duration of the market, including set-up and tear-down, with a minimum coverage of $2,000,000 liability.

VENDOR RESPONSABILITIES

  • Vendors must only sell products outlined in their application unless prior written approval is obtained.

  • Vendors are responsible for obtaining all permits, licenses, approvals, and insurance reasonably required to sell products.

  • Vendors conducting food sales or on-site sampling must have Vancouver Coastal Health (VCH) approval in advance.

  • All food vendors must provide their own hand-washing station and plan booth layouts accordingly.

  • Vendors are responsible for collection of sales tax and managing credit/debit services.

  • Vendors are legally liable for any negative consequences resulting from the purchase or consumption of their goods.

SET-UP & MARKET OPERATIONS

  • Load-in instructions, vendor placement, and schedules will be provided prior to each market.

  • Vendors must be market-ready at least 30 minutes before opening.

  • Vendors must remain set up until the official close of the event. Early tear-down is not permitted.

  • At closing, vendor spaces must be left clear of garbage, recycling, and personal items.

  • Electricity is available upon request, subject to availability. Vendors are responsible for safe use and must supply approved extension cords/power bars.

BOOTH DISPLAY STANDARTS

  • Plastic tablecloths and artificial floral arrangements are not permitted. Vendors are encouraged to use natural-fiber linens (linen, cotton) and fresh, seasonal flowers.

  • Signage must remain on your table; large banners or displays that block light into neighboring spaces are not permitted.

PHOTOGRAPHY & MARKETING

  • Vendors agree that submitted product photography may be used across SEEK Bespoke Market’s marketing channels.

  • Vendors also agree that table displays, products, and booth setups may be photographed during the event and used for current and future promotional purposes including website, social media, and print.

  • Vendors grant SEEK Bespoke Market and affiliates a royalty-free, worldwide, perpetual license to use submitted and event-day photography for promotional purposes.

COMPLIANCE & ENFORCEMENT

  • Vendors must comply with all applicable laws, regulations, and health & safety rules.

  • If any government agency, court, or authority orders sales to cease, vendors must comply immediately.

  • Failure to comply with the above terms may result in immediate removal from the market without refund.

INDEMNIFICATION & LIABILITY

  • Vendors agree to defend, indemnify, and hold harmless Shannon June Enterprises Inc. (DBA SEEK Bespoke Market), The Belgard Kitchen, their officers, directors, employees, and agents, from any loss, fine, penalty, judgment, legal fees, or expense connected with:

    • failure to comply with this agreement,

    • liability, negligence, gross negligence, or injury arising from vendor products, actions, conduct, booth setup, or trade activities.

  • Shannon June Enterprises Inc. is not liable for any damage, theft, or loss of vendor property, nor for any loss arising from a vendor’s failure to obtain proper insurance.

FORCE MAJEURE

SEEK Bespoke Market will be excused from performance obligations in the event of a catastrophic occurrence outside its control, including but not limited to:

  • Acts of God (fire, flood, earthquake, hurricane, natural disaster, global pandemic, storm, infestation)

  • War, invasion, or other hostilities (declared or undeclared)

  • Hazardous situations outside control (riot, disorder, nuclear incident, act or threat of terrorism)

In such cases, SEEK Bespoke Market is not responsible for any loss of income.

FINAL ACCEPTANCE

By participating, vendors acknowledge they have read, understood, and agree to these terms. Failure to comply may result in the cancellation of participation without refund.
