For the Fairmont Empress Holiday Market, SEEK Bespoke Market is collaborating with Fairmont Empress to curate, produce and operate the Market.

Saturday, November 14: 10:00am–5:00pm
Sunday, November 15: 10:00am–4:00pm

Vendor fees and space options will be outlined during the application and acceptance process.

Your vendor space includes:

• Your assigned vendor footprint

• 6' table, where applicable to your selected space

• Two chairs

• Participation in the two-day Fairmont Empress Holiday Market

• Inclusion in SEEK Bespoke Market's event promotion

• A professionally curated holiday market experience at Fairmont Empress

Vendors are responsible for their own displays, merchandise, equipment, signage and other materials required for their space.

Load-in: Friday, November 13

Vendor load-in will take place on Friday. Specific access and load-in times are being coordinated with Fairmont Empress and will be provided closer to the Market.

Because loading access is shared with Fairmont Empress operations and the Victoria Conference Centre, vendors will be assigned specific load-in times. It is important that everyone arrives during their designated window.

Load-out: Sunday, November 15, following the Market

The Market closes at 4:00pm. Vendors may begin packing once the Market has officially closed.

Final load-out timing and instructions will be confirmed closer to the event.

SEEK Bespoke Market and the Fairmont Empress team will provide on-site direction to help ensure a smooth load-in and load-out.

A detailed schedule will be emailed to vendors prior to the Market.

Fairmont Empress has a designated loading area and vendors will be provided with scheduled access based on loading bay capacity and hotel operations.

Vehicles cannot be parked or left unattended in the loading area. Vendors will unload their items and then promptly move their vehicles.

Where applicable, Fairmont Empress staff will assist with transporting vendor merchandise and equipment from the designated loading area to assigned vendor spaces.

Alternative access may be available for vendors with smaller loads who do not require the main loading bay. Final access points and procedures will be communicated before the Market.

Detailed vendor loading instructions and the appropriate entrance for load-in will be sent to vendors before the Market.

Please follow the vendor load-in instructions rather than arriving through the hotel's main guest entrance with merchandise.

Vendor parking is not included.

Vendors are responsible for arranging and paying for their own parking for the Market weekend.

We recommend allowing additional time to park after unloading before returning to your booth.

Further information about nearby parking options can be shared with vendors closer to the event.

Food vendors are responsible for ensuring they have all permits, licences and approvals required for their products and activities.

Any on-site food preparation or food and beverage sampling must also be approved by Fairmont Empress in advance.

If you intend to sample or prepare food at your booth, please let the SEEK Bespoke Market team know in advance.

Overnight security arrangements are still to be confirmed with Fairmont Empress.

Vendors remain responsible for their own merchandise, displays, equipment and personal belongings throughout the Market.

Further instructions regarding overnight booth procedures will be provided before the event.

We strongly recommend having your own reliable cellular data available for your payment system rather than relying exclusively on venue Wi-Fi.

Please ensure your payment device, phone and any backup battery packs are fully charged each morning.

A little preparation goes a long way!

We recommend:

• Testing your payment system before arriving

• Bringing your own cellular data

• Fully charging phones, payment terminals and battery packs

• Bringing extension cords and power bars if you have approved access to electricity

• Clearly pricing your products

• Bringing sufficient inventory and packaging

• Preparing your display in advance

• Bringing any tools or supplies you may need for setup

• Reviewing your load-in instructions before arriving

• Sharing and promoting the Market with your community before the event

Please remember that all displays must remain within your assigned vendor footprint.

The Market will be indoors within the Fairmont Empress.

Additional booth lighting is optional unless otherwise communicated. If you plan to bring electrical lighting or other powered equipment, please advise SEEK Bespoke Market in advance as electrical equipment must be approved by the Venue.

Please let us know in advance if you plan to use a steamer or other electrical equipment at your booth.

Electrical equipment must be approved by Fairmont Empress prior to use.

If candles are part of your product display, please plan to display them unlit unless you have received prior approval.

Vendors are responsible for ensuring their business complies with all applicable business, tax, licensing and regulatory requirements.
